This website is administrated by and belongs to the company Head Hunting IT SRL located in Bucharest, Str. Vasile Lascar, Nr. 144 – 146, Et. 3 – mansarda, sector 2, registered under no. J40/13795/2012, CUI 30939730 at the Trade Registry, account no. RO096 BACX 0000 0008 4098 5000. At Unicredit Tiriac Bank, Traian Subsidiary, currently named HHIT.

HHIT is determined to protect our clients’ confidentiality and strives to offer a safe experience for the users. This privacy policy describes the way in which we collect and use the personal date received through the website.

By using this website, you agree to the collecting, processing and transferring of your data, as described in this privacy policy.

If you do not wish to have your data collected, used and transferred as described by this policy, you can withdraw your consent. In order to revoke your agreement, please send us an e-mail at dpo@headhuntingit.com If you revoke your consent, your profile and account information will be eliminated from our database.

The information collected on our websites and applications are stored in the European Union and are in conformity with Regulation 679/2016.

Information that we collect

We collect information about yourself when you send us your CV through our website. We collect information directly from you such as: Your contact information, CV, certificates, qualification diplomas and information about the desired work place. Your name, address, e-mail address, phone number and other contact information; Your CV or letter of intent, previous and/or relevant work experience or other experiences, education, transcripts or other information you send us supporting the application and/or the application and recruitment process; Information regarding interviews and phone conversations which you may have, if applicable; Details regarding the type of job you are searching for, current and/or desired salary and other terms addressing compensation or benefits packages, the desire to relocate or other preferences regarding the work place and the type of organization. Any sensitive and/or demographic information obtained during the application or recruitment process, such as sex, information about citizenship, medical or health related information transmitted by the applicant and/or data regarding ethnic, religious or racial origins. Information from referrals and/or information received from background checks (if applicable), including third party supplied information; and/or letters of recommendation. Information regarding any antecedents from previous working relationships.

How do we use the information which we collect

Your information will be used by HHIT in order to facilitate the selection and recruitment process, which includes: The evaluation of career related capabilities, qualifications and interests; Verifying your information and carrying out referral checks and/or background checks (if applicable); Communicating with you on the subject of the recruitment process and/or your requirement (requirements), including, if applicable, informing you about other potential career opportunities at HHIT; Creating and/or transmitting reports according to local laws and/or regulations, as the case; Improving the application and/or recruitment process of HHIT, including the improvement of the recruitment practices’ diversity; Respecting the laws, regulations, legal processes or applicable governmental requirements. In certain situations, we will also use your information to protect HHIT rights and property, the rights of users, candidates, employees or other concerned people, as required by law. After the admission of the application for the recruitment process, HHIT will collect, process and store the information in your applicant/candidate file in the database of the HHIT company.

Who can access your information

Your information may be shared with third party companies who are HHIT clients and who have contracted the recruitment services of the HHIT company. HHIT may sometimes be obligated to share your information with external third parties, such as local authorities, courts, regulatory bodies and/or law enforcement agencies in order to comply with the applicable laws and regulations or as an answer to a legal claim. We will also share your personal information with third parties if we have your consent or in order to detect, prevent or differently approach frauds, security breaches or technical issues or to protect ourselves against property rights or against a threat towards the HHIT safety, its users, or other candidates, employees and other implicated persons, or in the cases stipulated by law.

Important note regarding your CV

When you send us a CV, we store it in our CV database from the European Union. We cannot control storage, use or confidentiality of the CVs which have already been viewed by possible employers from the recruitment process. After your CV has been disclosed, HHIT cannot get it back from the third parties which have accessed it. The CV which you send to us mustn’t contain sensitive data regarding (i) racial or ethnic origin (ii) political orientations (iii) philosophic or religious beliefs; (iv) membership in a syndicate or political party; (vii) crime or sanction record or their afferent fines; (viii) committing any illegal or inadequate behaviour and its associated sanctions; or (ix) any personal national identification number of an individual. If your CV or profile contains any of this information, you are assuming all responsibility for it.

Minors

HHIT is not destined for and does not knowingly collect through its website information from children under the age of 18.

How do we share the information with third parties?

We will disclose your personal data only for the purposes of those third parties, as it is stipulated bellow. Head Hunting IT SRL will take every necessary precaution to ensure that your personal information is processed, secured and transferred according to the applicable law.

Clients of the Head Hunting IT SRL company

Depending on your activity, The Company will transmit towards its clients, the personal information of the candidates from the recruitment process. We will share or make available to the clients only those pieces of information which are necessary for carrying out the recruitment contract. This information may be used by said clients only for recruitment purposes, any other use being prohibited based on the current agreement.

External services suppliers

Where necessary, we will commission other companies and persons to carry out certain tasks which contribute to our services, on our behalf, involving the data processing agreements to which you explicitly have given consent to. We may, for example, provide, personal information towards agents, contractors or partners for the hosting of our databases, the data processing services or in order to send you the required information. We will share or make available to external services providers that information necessary to process your requests. This information may not be used by them for any other purposes, especially not for their or other third parties’ purposes. External service providers for Head Hunting SRL are bound by contract to respect the privacy of personal information.

Public bodies

We will disclose your personal information only to public bodies, if this is required by law. For example, The Company will answer requests from courts, law enforcement agencies, regulation agencies and other public and official authorities, which may include authorities outside the country of residence.

For how long will we keep personal information?

Excepting the case when you oppose to our collecting and processing personal information and/or you request the deletion of your personal information, the following retention periods are applied, in conformity with our policy regarding data retention, for the following categories of personal information:
  • We do not store your personal information longer than is necessary for the purpose we acquired them for or to comply with a state law or requirement.
  • Recruitment data: for 36 months with the exception of situations involving requests or complaints, or finally, legal actions which must be resolved.
  • For the activities of processing in order to promote the company’s services and products, we store data for a limited time of 12 months.

Your legal rights

As the person concerned you have specific legal rights regarding the personal data which we collect from you. Head Hunting IT SRL will respect your individual rights and will take care of your interests accordingly.
  • The right to withdraw consent: You may withdraw your consent for personal data processing at any time.
  • The right of rectification: You can get from us the rectification of the personal data which involves you. We make reasonable efforts to keep the personal data – which are continuously used and are in our possession or control – exact, complete, updated and relevant, on the basis of the most recent information available to us.
  • The right to restriction: You can get from us the restriction of personal data processing if:
    • you contest the accuracy of the personal data for the period in which we have to verify correctness,
    • the processing is illegal and you request the restriction of processing rather than deletion the personal data,
    • we no longer need your personal data, but you request it for stating, exercising or defending a right or
    • you oppose to the processing in the period in which we verify if our legitimate reasons have priority over yours.
  • The right to access: You can request information regarding the personal data we have about you, including information regarding which categories of personal data we have in our possession or under our control, for what purposes they are used, where we collected them from, if they are not collected directly from you and to whom they have been disclosed to, if applicable. You can obtain a copy from us, free of charge, containing the personal data we have about you. We reserve the right to perceive a reasonable fee for every additional copy you may request.
  • The right to portability: On demand, we will transfer the personal data to another operator, where it is possible from a technical standpoint, with the condition that the processing will be based on your consent or necessary to execute a contract. Rather than receiving a copy with your personal data, you may request a transfer of data directly to another operator, specified by you.
  • The right to delete: you may obtain from us the deletion of personal data, if:
    • your personal data are no longer necessary for the purposes they have been collected for or are processed in a different manner;
    • you have the right to oppose to personal data processing (mentioned bellow) and you exercise the this right of objecting to the processing;
    • the personal data has been illegally processed;
    With the exception of the case in which processing is necessary:
    • to fulfil a legal obligation which requires us processing it;
    • especially for legal data storing requirements;
    • to state, exercise or defend a right.
  • The right of opposition: You may object to – at any time – the processing of personal data due to your special case, provided that the processing will not be based on your consent, but rather on our or a third party’s legitimate interest. In this case, we will stop processing the personal data, if we cannot provide good, legitimate reasons and a major interest for processing or stating, exercising or defending a right. If you oppose to the processing, please specify if you would like to have the personal data deleted or have it restricted from processing by us.
  • The right to file a complaint: In the case of an alleged violation of current legislation regarding privacy, you may file a complaint at the governing authority for data protection in your country of residence or where the alleged violation occurred.

Please note that:

  • Time period: We will try to fulfil the request in 30 days at most. Nevertheless, the period may be prolonged out of reasons referring to the specific legal right or the complexity of the request.
  • Restricting the access: In certain cases, we may not grant you access to all or parts of your personal data, due to legal reasons. If we will refuse your request, we will inform you as to why we have done so.
  • Impossibility to identify: In certain cases, we may not look for your personal data, due to identification elements that you provided in your request. In these cases, in which we cannot identify you as the person concerned, we cannot fulfil your request of exercising legal rights as they are described in this section if you do not provide further information required for your identification.
